Your online job applications aren\u2019t yielding positive results? More than likely, it\u2019s because you\u2019re up against an inhuman force. Meaning \u2014 an Applicant Tracking System or ATS. And your resume isn\u2019t up to the task of beating it.<\/p>\n<p>If you\u2019re not up to date with modern job search lingo, an ATS is an automated filtering algorithm designed to assess resumes for fit at scale.<\/p>\n<p>If you want to ensure your resume doesn&#8217;t disappear into the abyss of the internet and actually makes its way into the hands of a human recruiter, you need to know how to outsmart an ATS software system.<\/p>\n<p>These systems have been around for years, and research shows that <a href=\"https:\/\/www.jobscan.co\/blog\/fortune-500-use-applicant-tracking-systems\/\">upwards of 95% of Fortune 500 companies are using them<\/a>.<\/p>\n<p>They\u2019re not going anywhere and you\u2019d be wise to learn the main reasons they reject resumes.<\/p>\n<p><strong>(Related: <a href=\"https:\/\/arielle.com.au\/how-to-write-cv-australia\/\">How to write a CV that Australian recruiters will love<\/a>).<\/strong><\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>Robots Are Getting Smarter.<\/strong><\/h2>\n<p>Artificial Intelligence (AI\u2014and specifically Machine Learning, or ML) is the technology that\u2019s powering these ATSs &#8211; and it is advancing by the day. This means the robots that stand <a href=\"https:\/\/arielle.com.au\/how-to-get-a-job\/\">between you and your next job<\/a> are smarter than ever.<\/p>\n<p>Gone are the days when an ATS was a simple keyword scanner acting as a gate-keeper for recruiters.<\/p>\n<p>Enter an age in which the bots have female names \u2013 Olivia, Mya, Vera, for example. And their main objective is to deliver the top 20% of applicants for any open requisition to their human recruiters.<\/p>\n<p>The screening criteria they use are the clincher.<\/p>\n<blockquote>\n<h3><em>If you happen to land in the 80% of applicants that didn\u2019t make the cut, and you\u2019re truly a stellar candidate, both sides clearly lose.<\/em><\/h3>\n<\/blockquote>\n<p>How, then, to make it into the top 20%?<\/p>\n<p>You can save a lot of time and get outstanding results by using our <a href=\"https:\/\/arielle.com.au\/resume-writing-services\/\">premium CV services in Sydney and Melbourne<\/a> or my <a href=\"https:\/\/arielle.com.au\/executive-resume-writer\/\">executive resume writing service<\/a>.<\/p>\n<p>However, if you prefer to <a href=\"https:\/\/arielle.com.au\/how-to-write-a-resume\/\">write your resume<\/a>, read on \u2013 my tips below will help you craft a resume that passes the ATS.<\/p>\n<p>But first, let\u2019s review some helpful background on the most current ATS technology.<\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>We&#8217;re Not In Kansas Anymore, Toto.<\/strong><\/h2>\n<p>Until recently, most ATS used a technology known as <em>semantic search<\/em>.<\/p>\n<p>They were programmed to look for specific keywords while screening resumes, they tallied up the totals, and the resumes with the most keywords were passed along.<\/p>\n<p>This created an unfortunate phenomenon known as \u201ckeyword stuffing\u201d, which resulted in the creation of many resumes which were littered with scads of repetitive keywords and very little professional narrative.<\/p>\n<blockquote>\n<h3><em>In 2024, however, the robot that reads your resume looks for context.<\/em><\/h3>\n<\/blockquote>\n<p>Sort of like a human would. It scans to see how your skills (those keywords) perform in the context of your work experience.<\/p>\n<p>The resumes with the most relevant context are the ones passed along. So in a way, your keywords are more important than ever &#8211; as is avoiding the practice of \u201cstuffing.\u201d<\/p>\n<p>And while the technology remains far from perfect, it\u2019s a major improvement indeed.<\/p>\n<p>Here\u2019s how to beat the bots at what they do best.<\/p>\n<p><img decoding=\"async\" class=\"aligncenter size-full wp-image-62093\" src=\"https:\/\/arielle.com.au\/wp-content\/uploads\/2018\/07\/robot-and-candidates.jpg\" alt=\"applicant tracking system\" width=\"450\" \/><span id=\"Use_Standard_Resume_Sections\"><\/span><\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>1. For example, it\u2019s likely to be programmed to search for information on:<\/p>\n<ul>\n<li><strong>Work<\/strong> experience.<\/li>\n<li><strong>Qualifications<\/strong> &amp; schooling.<\/li>\n<li><strong>Contact<\/strong> information.<\/li>\n<li><strong>Social<\/strong> media profiles.<\/li>\n<li><strong>Skills<\/strong>.<\/li>\n<\/ul>\n<p>It\u2019s easy to imagine that a quirky designer with extensive experience at Apple might call \u2018former employers\u2019 something like \u2018previous gigs\u2019 as a way to convey their \u2018<a href=\"https:\/\/arielle.com.au\/how-to-brand-yourself\/\">personal brand<\/a>\u2019 to a recruiter.<\/p>\n<p>However, an ATS will ignore that section completely \u2013 because it doesn\u2019t know what \u2018previous gigs\u2019 means.<\/p>\n<p>So instead of the designer being flagged as working at arguably one of the most prestigious design departments in the world, they\u2019d never even <a href=\"https:\/\/arielle.com.au\/behavioural-interview-questions\/\">get an interview<\/a>.<\/p>\n<p>Don\u2019t let this happen to you.<\/p>\n<p><strong>(Related: <a href=\"https:\/\/arielle.com.au\/best-website-hosting-providers-in-australia\/\">11 Best Website Hosting Providers In Australia<\/a>).<\/strong><\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>2. Explore Additional Ways To Amplify Keyword Context.<\/strong><\/h2>\n<p>Craft a title at the start of your resume that succinctly states the position you\u2019re seeking. Use Different Resumes For Different Jobs.<\/strong><\/h2>\n<p>By now you get that keywords are a critical component of beating the ATS and making contact with a human recruiter.<\/p>\n<p>This means, unfortunately, that you need a different resume for different jobs. There is no one-size-fits-all resume that will outsmart a robot.<\/p>\n<p>The logical place to begin choosing your keywords is the job description.<\/p>\n<p>Let\u2019s look at an example of a job description extract:<\/p>\n<blockquote>\n<h3><em>\u201c\u2026the successful applicant will have advanced knowledge of the accounting software Xero, including skills in credit control, automated bank reconciliation and forecasting &amp; budgeting.\u201d<\/em><\/h3>\n<\/blockquote>\n<p>The keywords than an ATS is likely to be scanning your resume for are:<\/p>\n<ul>\n<li>Accounting software.<\/li>\n<li>Xero.<\/li>\n<li>Credit control.<\/li>\n<li>Automated reconciliation.<\/li>\n<li>Bank reconciliation.<\/li>\n<li>Forecasting.<\/li>\n<li>Budgeting.<\/li>\n<\/ul>\n<p>However, imagine if the resume you submitted had these alternative terms instead:<\/p>\n<ul>\n<li>Accounts.<\/li>\n<li>Accounts package.<\/li>\n<li>Online accounting platform.<\/li>\n<li>Late payments.<\/li>\n<li>Minimising bad debts.<\/li>\n<li>Credit risk analysis.<\/li>\n<li>Budgetary planning.<\/li>\n<li>Fiscal estimates.<\/li>\n<li>Financial planning.<\/li>\n<\/ul>\n<p>A human would easily conclude that you\u2019re the perfect candidate despite these subtle variations in terminology.<\/p>\n<p>However, the algorithm wouldn\u2019t find a single relevant keyword in your resume (which means you\u2019d probably be rejected).<\/p>\n<blockquote>\n<h3><em>The lesson is clear: for each job you are applying for, you should ensure that your resume includes the exact terms found in the job description.<\/em><\/h3>\n<\/blockquote>\n<p>This means changing \u2018fiscal estimates\u2019 to \u2018budgets\u2019 and ensuring you explicitly mention any software or systems that the employer is looking for.<\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>4. Review Your Online Presence.<\/strong><\/h2>\n<p>Applicant Tracking Systems put your \u2018social\u2019 life under the microscope, too.<\/p>\n<p>Some advanced systems can now automatically scan your social media profiles and use that information as part of the electronic decision-making process.<\/p>\n<blockquote>\n<h3><em>So, make sure you tidy up your profiles.<\/em><\/h3>\n<\/blockquote>\n<p>Ensure that your LinkedIn profile is relevant and up-to-date (rewrite it if necessary, <a href=\"https:\/\/arielle.com.au\/7-rules-for-writing-the-perfect-linkedin-summary\/\">paying particular attention to the Profile Summary section<\/a>).<\/p>\n<p>Consider, as we mentioned above for your resume, adding a paragraph that lists the important keywords mentioned in the job description. (More on this below).<\/p>\n<p>Also, ensure that whenever you mention your job titles, you use terms that an ATS can understand (e.g. \u2018credit control\u2019, rather than just \u2018Accounts clerk\u2019 or \u2013 worse \u2013 \u2018Number monkey\u2019!)<\/p>\n<p>While most ATS focus on LinkedIn, if you\u2019re active on other social networks (Facebook, Twitter etc.), it\u2019s a good idea to update those, too (or, if they\u2019re for personal use only, lock them down with maximum privacy settings).<\/p>\n<p>Furthermore, a lot of the newer systems <a href=\"http:\/\/www.saxonsgroup.com.au\/blog\/career\/5-things-you-need-to-know-about-an-applicant-tracking-system\/\">automatically scan your social media accounts<\/a>, which means that those shaky iPhone videos of you dancing on a table in Amsterdam are likely to get attached as \u2018supplementary information\u2019 to your employee profile.<\/p>\n<p>Yikes.<\/p>\n<p>As if that wasn\u2019t enough, the Machine Learning we mentioned earlier can go beyond rejecting you. It can also write your \u201cDear John, thank you for applying, however\u2026\u201d letter, too.<\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>5. Snoop Around LinkedIn Competitor Profiles.<\/strong><\/h2>\n<p>Simply relying on the job description for your keywords is only half the battle, as they tend to be riddled with skills ranging from \u201cmust-have\u201d to \u201cnice to have\u201d to \u201chiring manager ideal.\u201d<\/p>\n<p>So don\u2019t stop there in identifying your keywords. Hop on LinkedIn and check out the profiles of people who may be competing for the same role as you.<\/p>\n<p>For example, you\u2019re going after a CFO position.<\/p>\n<ul>\n<li><strong>Use<\/strong> LinkedIn\u2019s search function to find your CFO colleagues \/ competitors.<\/li>\n<li><strong>Narrow<\/strong> it down to 5-10.<\/li>\n<li><strong>Next<\/strong>, check out the \u201cFeatured Skills &amp; Endorsements\u201d section of their profiles. Good news! These are keywords that have already been optimized by LinkedIn\u2019s algorithm. Feel free to use them as-is.<\/li>\n<li><strong>Create<\/strong> a list for yourself. Then choose the 5-7 in which you are an absolute expert. Use these in your resume and LinkedIn profile.<\/li>\n<\/ul>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>6. Do Not Use PDF.<\/strong><\/h2>\n<p>Unless otherwise specified, most Applicant Tracking Systems don\u2019t like resumes formatted in PDF format as it\u2019s difficult for them to extract the information they need.<\/p>\n<p>They just want text. No glitter or fancy formats \u2013 just text.<\/p>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>Get Your Resume Noticed By An ATS.<\/strong><\/h2>\n<p>So, let\u2019s summarise <a href=\"https:\/\/arielle.com.au\/job-search-advice\/resume-writing\/\">the best resume writing strategies<\/a> you can employ to have the best chance of being passed by an ATS:<\/p>\n<ul>\n<li><strong>Add the exact keywords<\/strong> to the job description of your resume.<\/li>\n<li><strong>Don\u2019t try to game the system<\/strong> &#8211; tactics like listing hundreds of semi-relevant keywords on your resume are easily spotted and will result in your resume being deleted.<\/li>\n<li><strong>Never<\/strong> submit a PDF.<\/li>\n<li><strong>Avoid<\/strong> images and graphs.<\/li>\n<li><strong>Use standard sections<\/strong> on your resume.<\/li>\n<li><strong>Be careful with social media<\/strong>; assume that unless it\u2019s locked down, it will be used (possibly against you).<\/li>\n<\/ul>\n<div class=\"blog-post-spacer\"><\/div>\n<h2><strong>Bringing It All Together.<\/strong><\/h2>\n<p>Remember not to put all your career aspiration eggs in the \u201cI\u2019ll beat that ATS yet!\u201d basket.<\/p>\n<p>Advancing in your career is an art and science that combines marketing, branding and networking to tell your story in a compelling, commercially relevant way to the right people.<\/p>\n<p>Connect with other professionals in your field on LinkedIn.
